What is a 3D spare parts catalog?
A 3D spare parts catalog is an interactive replacement for the printed or PDF parts book. Instead of reading an exploded-view drawing and matching a callout number to a parts list, the customer opens the manufacturer's actual 3D model in a browser, rotates the assembly, clicks the component they need, and the correct part number is resolved for them automatically.
For an OEM, the practical effect is narrow and measurable: the part request that arrives at your after-sales desk already names the right part.
Why the PDF parts book fails
Almost every OEM already has the information its customers need. It exists in the CAD models engineering built when the machine was designed. The problem has never been that the answer is unknown — it is that the answer is locked in a format the customer cannot use.
A PDF parts book fails in four specific ways:
- It requires interpretation. The customer has to map a physical component in front of them to a 2D line drawing, then to a callout number, then to a row in a table. Every step is a chance to get it wrong.
- It goes stale. Once a PDF is downloaded, it sits on the customer's desktop forever. Your revision 7 is irrelevant if they are still working from revision 3.
- It does not know about variants. Highly customized equipment means no two machines share a parts list, but a parts book is written once for a nominal configuration.
- It ends at identification. Even when the customer finds the right number, they still have to phone or email — and your team still has to confirm it.
The result is the pattern every after-sales manager recognises: a description in an email ("the bracket near the left drive"), a phone call to clarify, a photo attachment, and a non-trivial rate of wrong-part shipments that get returned at your cost.
How a 3D parts catalog works
There are three steps, and only the first involves you.
- Upload or connect. You upload a STEP file — the same file your engineers already export — or connect a PDM/PLM system directly. Conversion and part extraction are automatic. There is no manual file preparation and no CAD licence required.
- Share. You get a shareable link per assembly. Email it, embed it on your site, print it as a QR code on the machine itself, or serve it behind a customer login.
- Receive structured requests. The customer clicks the parts they need. What reaches you is a structured request naming specific part numbers and quantities, tied to the assembly they were selected from — by email, through an online channel, or directly into your ERP.
Nothing in that sequence requires the customer to install software. They open a link in an ordinary browser.
What it changes for the OEM
The value is concentrated in three places:
- Fewer wrong parts. The request names the part instead of describing it, which removes the single largest source of returns in aftermarket parts.
- Less engineering time spent on support. Identification questions stop being escalated to the people who designed the machine.
- Parts revenue that was leaking. Customers who cannot easily identify a part from you will often source an equivalent elsewhere. Making identification trivial keeps that revenue in your channel.
3D parts catalog vs. electronic parts catalog (EPC)
The terms overlap and are often used interchangeably, but they are not the same thing.
A traditional electronic parts catalog is a digitized parts book: a searchable database of part numbers, usually with the same 2D exploded views the paper book used. It solves the staleness problem and part of the search problem, but the customer still identifies parts by interpreting a drawing.
A 3D parts catalog uses the real geometry. Identification happens by clicking the object, not by decoding a diagram. In practice most OEMs want both behaviours — browse and search by part number when you know it, click the model when you do not.
What you need to start
Less than most teams assume:
- One STEP file, or a native SolidWorks or Inventor file.
- No CAD licence for your customers, and no plugin or viewer on their side.
- No IT project. Uploading a single assembly does not require administrator rights, an integration, or a rollout plan.
Larger deployments layer on the things procurement asks about — ERP integration, dealer accounts, your own domain and branding, role-based access — but none of that is a prerequisite for putting the first assembly in front of a customer.
